Office Manager/Executive Assistant

The Office Manager position requires interacting with all the members in our organization, clients and vendors. You will contribute significantly to create an amiable work environment to support the functional teams working here. We are looking for a friendly, flexible and energetic personality with excellent customer service skills, attention to detail and significant experience in administration and facilities management.


  • Support C-Suite executives in liaising with external agencies, investors, and partners in relation to administration, agenda, communication and scheduling matters
  • Schedule events and office tours, internal and external meetings, etc.
  • Provide general administrative activities to the organization, and assist with general reception and deliveries
  • Manage the care of facilities including but not limited to logging, scheduling and coordinating maintenance, and mapping what issues need to be fixed
  • Lead the organization in providing a world-class and welcoming facility for stakeholders, i.e. coordinate building maintenance and security, ensure professionalism of space, etc.
  • Maintain vendor relationships, including, but not limited to: landlord, property manager, facilities maintenance, parking management, cleaning service providers, etc.
  • Maintain and order general office equipment and kitchen supplies (including Covid testing supplies)
  • Collaborate with office staff to liaise with outsourced IT firm for all IT/AV matters, including ordering, installing, and maintaining all IT/AV related equipment
  • Support the development of policies and procedures and ensure they are implemented appropriately and efficiently
  • Identify opportunities for process improvements and design and implement new systems
  • Setup and prepare areas, agendas, and ensure readied presentations for meeting/audits
  • Manage and schedule all company events

What You’ll Do?

This position provides direct, high-level administrative support to senior leadership at OerthBio, and provides general office support for the organization. Candidates must have the ability to work in and contribute to an environment that is welcoming and inclusive of a diversity of people, perspectives, and lived experiences.

This position requires a strong communicator with proven interpersonal skills, who can establish and maintain effective working relationships and exhibit a customer service-oriented attitude in interactions with employees, visitors, investors and potential partners. The individual in this position will be privy to sensitive discussions at the senior leadership level, and as such, must appropriately ensure confidentiality in all interactions.

A successful candidate will thrive in a fast-paced office environment, have the ability to manage multiple tasks, and have the ability to adapt to changing priorities. An ideal candidate should be able to take initiative while exercising good judgment and discretion, and have a track record of being able to work both independently and as part of a collaborative team. Ideally, this individual will be able to use their strong attention to detail, and familiarity with a wide array of office tools, to approach administrative tasks with a solutions-oriented mindset.

Who You Are

  • You have at minimum, a Bachelor’s Degree or 10+ years’ of assistant experience
  • You have experience with managing organization cohesion on a day-to-day basis, including supporting general office needs, i.e. ordering of materials and supplies of an office, assisting with IT needs, and supporting with purchasing and procurement
  • You have demonstrated experience assisting with any general communication and calendar needs of a CEO, and providing the best customer service in all interactions
  • You are naturally curious, always desire to learn, and working at a mission-driven company is important to you
  • You have strong fluency with Microsoft Office and a demonstrated experience in vendor management, maintaining and tracking inventory of items, and ensuring proper payment occurs
  • You are comfortable with negotiating with supplies and contractors when necessary
  • You have experience securing and managing logistics for meetings, conferences, travel, and organizing schedules
  • You find enjoyment in synthesizing information and creating communications of varying complexity for different audiences
  • You can speak clearly and persuasively in positive or negative situations, demonstrate group presentation skills and conduct meetings
  • You have the ability to effectively manage multiple priorities and deliverables within an entrepreneurial work setting
  • You are a motivated and organized critical thinker that can perform through distractions, changing priorities and aggressive deadlines
  • You have a demonstrated experience and an affinity to work on special projects directly with senior leadership
  • You have start-up experience, or a willingness to help out with whatever tasks need attention

This position will be located Durham, NC. Oerthlings are strongly encouraged to be vaccinated and required to be vaccinated if they plan to work from the lab and/or office.
